Who we are
Railspeed AI Limited ("RailSpeed AI", "we", "us") is a Canadian company based in Calgary, Alberta. We build Firmus, an AI campaign platform. This policy explains how we handle personal information on railspeed.ai and in Firmus, in line with Canadian privacy law, including Alberta's Personal Information Protection Act (PIPA) and the federal Personal Information Protection and Electronic Documents Act (PIPEDA).
Our two roles
For information about our own customers and website visitors, we decide how it is used. For the contact data our customers sync into Firmus from their CRM, we act on our customer's behalf as a service provider. Our customers are responsible for having the consent needed to email their contacts.
Information we collect
- Account information: names, work email addresses, company details and billing information for people who use Firmus.
- CRM data you connect: the contacts and segment details you choose to sync from Salesforce or HubSpot, such as names, email addresses and segment attributes.
- Campaign content and results: campaign plans, copy, and delivery, click and conversion results.
- Messages to us: what you send when you email us or book a demo.
- This website: railspeed.ai does not use analytics or advertising cookies. Our hosting provider keeps standard server logs, such as IP address and browser type, for security. The site loads fonts from Google Fonts, which receives your IP address.
How we use it
- To provide Firmus: syncing segments, generating campaign plans and copy, and sending the campaigns your team approves.
- To improve recommendations for your account, using your own campaign results.
- To support you, bill for your plan, keep the service secure and meet legal obligations.
We do not sell personal information.
AI processing
Firmus uses Claude, Anthropic's AI models, through Google Cloud Vertex AI. To plan and write a campaign, we send Claude the relevant segment details and campaign context. We do not use your CRM data or campaign content to train AI models.
Service providers
We share information only with providers that help us run Firmus and this website:
- Google Cloud (Vertex AI), to run Claude
- Salesforce and HubSpot, when you connect them
- Resend, to send the campaigns you approve
- Our cloud hosting provider, which stores Firmus data in Edmonton, Alberta
- Vercel, to host railspeed.ai
- Cloudflare, for our domain and email routing
Where information is stored
Firmus data is stored in a cloud data centre in Edmonton, Alberta. Some of our service providers may process information outside Canada, including in the United States, where it may be subject to the laws of that country.
How long we keep it
We keep account information while your account is open. Other personal information, including synced CRM data and campaign results, is kept for up to 7 months and then deleted. We may keep some records longer where the law requires it.
If you received an email sent with Firmus
Emails sent with Firmus are sent on behalf of our customers. To stop receiving them, use the unsubscribe link in the email or contact the sender. You can also write to us at privacy@railspeed.ai and we will pass your request to the sender.
Your rights
You can ask to access or correct your personal information, or withdraw your consent, subject to legal and contractual limits. Depending on where you live, other rights may apply. Contact us at privacy@railspeed.ai. If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.
Security
We use administrative, technical and physical safeguards suited to the sensitivity of the information we handle.
Children
Firmus is a business service and is not intended for children.
Changes
We will post any changes to this policy on this page and update the date above.
